Aim

  1. The aim of this Chapter is to provide a policy and associated procedures consistent for compliance with the General Data Protection Regulation (GDPR).

Introduction

  1. The GDPR came into force in May 2018 in the UK, and it has an impact in all the countries where Worldwide Structures Limited (WSL) work.
  2. This policy details the data WSL may retain, process and use relating to third party businesses, suppliers, and customers.

Policy

  1. Worldwide Structures is committed to ensuring all information held is secure, accurate and relevant. To prevent unauthorised access or disclosure, suitable physical and managerial procedures have been implemented to safeguard and secure all held data.
  2. Worldwide Structures do not hold any personal data, only data relating to the company of third-party businesses, suppliers, and customers. These details include:
      1. Email address.
      2. Name
      3. Company details.
      4. Where necessary, if a supplier, bank details.
  3. The above details are provided by the third-party company, supplier and customers and are necessary to enable Worldwide Structures to fulfil the contractual obligations between the 2 parties.
  4. Worldwide Structures take privacy very seriously and will only use the data to administer the account and provide details or information requested.
  5. All data is held securely on a server, which is monitored and protected by the most up to date Firewall and anti-virus software.
  6. Data is retained for 7 years after termination of the business relationship.
  7. Data held will never be disclosed to any third party. Worldwide Structures will not sell or transfer our email database.
  8. Should a third-party business, supplier, or customer wish to stop receiving emails from Worldwide structures, or check what data is held, then they are to contact Worldwide Structures via email (enquiries@w-sl.com).

Audit and Review

  1. A review of this policy and procedures will take place annually (or sooner if other specific business requirements or events necessitate) and will be conducted by the Senior Leadership Team. The review will look at the suitability and effectiveness of the policy using employee feedback and comments received.  Where feedback and/or legislative change necessitates, the policy will be amended accordingly.

  1. Any employee who requires further assistance or guidance with the successful implementation of this policy and its associated procedures should contact their line manager in the first instance.
